Three roles, clear permissions
Every user in SampleLedger has exactly one role. Roles are set by the Owner and determine what each person can see and do.
Owner
Full control- Full access to all features
- Manages organisation settings and billing
- Controls master tables (categories, patterns, weaves, finishes, colours)
- Can invite and manage all users
- Can view and manage audit trail
Admin
Operations- Can create, edit, and delete samples and colour variants
- Can generate and print stickers
- Can create and manage dispatches
- Can invite Staff users
- Cannot change organisation settings or billing
Staff
Limited access- Can create and view samples and colour variants
- Can generate and print stickers
- Read-only access to master tables (cannot modify)
- Cannot delete samples, manage users, or access organisation settings
Organisation isolation
SampleLedger is a multi-tenant platform. Every organisation has its own isolated workspace. Your samples, master tables, users, and dispatch records are completely separate from every other organisation on the platform. There is no shared data. Switching between workspaces requires separate credentials.
Simultaneous multi-user access
Multiple users can work in SampleLedger simultaneously without conflict. One team member creating samples, another printing stickers, a third reviewing dispatches — all at the same time. No file locking, no "someone else has it open" errors.

How many users can I add to one organisation?
There is no hard limit on users per organisation. The flat per-organisation pricing covers your entire team.
Can I have multiple organisations under one account?
Currently, each SampleLedger account belongs to one organisation. If you manage multiple separate businesses, contact us to discuss your requirements.
What happens to data when a user is removed?
All data created by a removed user — samples, dispatches, audit records — remains intact. Only their login access is revoked.
Can a user be in two organisations?
Each user account is associated with one organisation at a time. For operations spanning multiple separate entities, separate accounts are used.
