Fabric Sample Management
for Garment Manufacturers

Garment production starts with fabric. SampleLedger helps CMT factories and apparel manufacturers track their sourcing samples from first receipt to buyer approval.

Why garment manufacturers struggle with fabric sample tracking

Approved fabric specs get confused

When sourcing from multiple mills across seasons, keeping track of which blend and construction was approved for which style is a constant challenge. Approvals get confused. Production runs use the wrong fabric.

Fabric sample libraries grow unmanaged

After a few seasons, the sample rack holds hundreds of fabrics with minimal labelling. No search, no indexing, no way to know which samples are still relevant.

Merchandisers and buyers need quick answers

When a buyer asks "can we use the same fabric from last season?" the answer requires finding the sample, checking the specs, and confirming availability. That should take seconds, not an hour.

How SampleLedger fits a garment manufacturer's workflow

01

Track fabric samples by design and colour

Enter each sourced fabric as a sample record with full construction specs. Colour variants track each colorway separately. Filter by blend, GSM, and finish to find what you need instantly.

02

Type tags for sample status

Mark samples as yarnDyed, pieceDyed, topDyed, or newInquiry. Track warp and weft changes. Keep a clear record of what each sample is and where it fits in your sourcing workflow.

03

QR stickers for the sample rack

Stick a QR label on every fabric sample in your rack. When a merchandiser needs specs, they scan the label. No more searching through files or calling the sourcing team.

Platform features

Search and filter

Filter your entire sample library by blend, GSM, width, colour, category, weave, and finish simultaneously. Find any sourced fabric before a buyer finishes asking the question.

Colour variants

Each design can carry multiple colour variants, each with its own MPN and sticker. Track every colorway without duplicate records or comma-separated workarounds.

Type tags

Use structured type tags — yarnDyed, pieceDyed, topDyed, newInquiry — to classify samples by process and status. Keep sourcing records organised across seasons.

Common questions from garment manufacturers

Can I use SampleLedger for both woven and knit fabrics?

Yes. SampleLedger supports any fabric type. The construction fields (warp, weft, EPI, PPI) are relevant for wovens; for knits, you can use the blend, GSM, and category fields as the primary identifiers.

Can I track which fabric was used in which style?

SampleLedger is a sample management platform, not a full ERP. You can use design numbers and dispatch records to track sample usage, but full BOM and style-fabric linking is outside the current scope.

What happens to seasonal samples we no longer use?

Samples can be soft-deleted when no longer active. They remain searchable in your archive and can be restored if needed for reference. Nothing is permanently lost.

Can we use SampleLedger alongside our existing ERP?

Yes. SampleLedger handles the sample tracking and QR sticker workflow. It operates independently of ERP systems and does not require integration.
