Fabric Sample Management
for Traders and Wholesalers
A fabric trader's inventory is their knowledge. SampleLedger turns that knowledge into a searchable, shareable, QR-connected sample library.
Why trading houses struggle with sample management
Samples from dozens of mills
Traders source from multiple mills, each with its own design numbering system, specification format, and labelling style. Reconciling these into a single searchable library in Excel means spending hours reformatting and cross-referencing.
Buyer inquiries take too long to answer
A buyer calls asking for a 120 GSM plain weave in 65/35 cotton-polyester. Finding the right sample means opening multiple files, searching manually, and then re-sending specs via email or WhatsApp. By the time you respond, the buyer has called someone else.
Stickers get lost, outdated, or wrong
Physical sample stickers fall off, fade, or show old prices and specs. Remaking them is slow. And without a digital link, a sticker that loses its label loses its identity entirely.
How traders use SampleLedger
Organise all mill samples in one place
Enter samples from each mill with a consistent field structure: blend, construction (warp/weft/GSM/GLM), width, category, weave, and finish. Each sample gets a design number and one or more colour variants. Your entire inventory — regardless of source — becomes one searchable database.
Answer buyer inquiries in seconds
Search by blend, GSM, width, colour, or any combination. Find the right sample before the buyer finishes asking the question. Share the QR link directly — they can see the full spec page without needing a PDF, an email attachment, or a WhatsApp screenshot.
Give buyers a modern experience
When a buyer scans the sticker on a sample you sent them, they see a clean spec page with all the key details. No login, no app. Just the information they need, instantly. This builds confidence in your professionalism.
The QR advantage for traders
Every sample you send becomes a live spec link. When specs are updated, the QR page reflects the change. No more outdated PDFs floating in a buyer's email.
Platform features
Multi-mill sample organisation
Consistent field structure across all your sources. Design numbers, blend compositions, and construction specs entered the same way regardless of which mill produced the fabric.
Instant QR sharing with buyers
Send a QR code instead of a PDF. Buyers scan and see live specs. No version confusion. No chasing the latest spec sheet.
Powerful search and filter
Filter by blend, GSM, width, colour, category, weave, and finish type simultaneously. A library of thousands of samples becomes navigable in seconds.
Common questions from traders
Can I use SampleLedger for samples from multiple mills without mixing them up?
Yes. All samples are associated with your organisation, and you can use categories, patterns, and custom master tables to tag samples by source mill. Search and filter make it easy to view samples from a specific source.
How do I handle samples with the same construction in different colours?
Use colour variants. Each colour variant is a child of the parent design, with its own MPN and sticker. Searching for a design returns all its colours instantly.
Can I share samples with buyers who are not on SampleLedger?
Yes — that is the whole point of public QR pages. Buyers scan the sticker with their phone camera and see the spec page immediately. No account required on their end.
What if I receive the same fabric from two different mills?
Create separate sample records for each source. You can use the design number and category fields to distinguish between them and track which mill produced which sample.
Is there a limit to how many samples I can store?
SampleLedger Pro includes unlimited samples and colour variants. There are no per-sample fees or storage limits.
